Comprehensive Logistics Service – Trans-Tok Warsaw

For many years now, we have been consistently providing our clients with a range of high quality services in contract logistics. This includes transport and dispatch of the goods entrusted to us, as well as warehousing. Each of the individual processes may be divided into specific actions and additional services which may, but do not have to, overlap. We treat each customer individually, so that the tasks entrusted to us meet the demands stipulated by the operating model adopted by a given business. This means we can be effective in realising goals set, and enter into long-term collaborations in contract logistics, which is a perfect example of comprehensive logistics servicing by an external firm – in this case Trans-tok.

Comprehensive logistics servicing assumes, of course, receipt of deliveries. Deliveries of goods are confirmed individually with a delivery of goods document after a properly notified and realised delivery. This is followed by a complex process, during which our employee checks the compliance of the goods delivered with the notice and packing list attached to the delivery documents, and carries out other necessary tasks such as photographic documentation or consideration of any damage there may be. Depending on the type of service rendered, once goods are received they may be sent to the warehouse or sent to the next client or customer, as part of a dropshopping procedure.

Goods are divided at the warehouse according to their destination, with each destination being stored separately within one warehouse zone. Comprehensive logistics servicing in this field means more than just storing goods, though. We manage our clients’ warehouses by keeping an index in our WMS. We provide inventory levels to the warehouse owners at the client’s request in the form of Excel files sent by email. We have 20,000 m2 of warehouse space of the highest possible A+ standard (of which 500m2 is adapted as cold storage), corresponding to 16,000 pallet places.

When realising our clients’ dispositions, we prepare and issue shipments in line with the specifications provided. Comprehensive logistic servicing involves obligations, so we have a specialised fleet of vehicles designed to transport food and industrial products, and dangerous items (ADR) including alcohol. Planning shipments requires packing, printing a shipping document, generating and attaching a receipt or invoice to the shipment, as well as entrusting the package to a dedicated courier.

The goods are, of course, completed according to the requirements of the specific order. Our employees are capable of carrying out the entire process quickly and efficiently, because completion of the orders is streamlined with the aid of the aforementioned WMS, which enables electronic identification of the goods, real-time monitoring of their state, production and validity dates, as well as reservation in the individual batch numbers and access to the record of proof of issue and proof of delivery documents – all online. This method of cataloguing significantly increases efficiency and safeguards against potential mistakes.

What would comprehensive logistic servicing be without taking care of the products? Not just in terms of packing them, because other services can be included, such as:

• affixing samples, promotional gifts,
• gluing and folding leaflets,
• heat sealing packaging,
• repacking products,
• foil wrapping products (including non-standard sales units),
• labelling products (including labelling food),
• preparing promotional sets.

This means that our clients have more possibilities when it comes to us preparing the products for shipping, and more room for manoeuvre should the need arise to create a combined set.

The question of safety of the goods carried starts from securing them during loading. We carry out pallet loading, and in doing so we verify the pallet weight, use stretch film and self-adhesive tape to secure the pallets, and make sure that the goods laid on the pallets does not protrude beyond the edges of the pallets. As far as loading containers is concerned, we load boxes loose in accordance with the packing instructions.

Comprehensive logistic services also involves slightly less standard services, such as this. Goods delivered to our warehouse do not go straight into the warehousing processes, but are immediately reloaded and sent on to the next client or customer. We are then acting as intermediaries, which could turn out to be helpful since our logistics centres are located just outside Warsaw, the perfect site for carriers from every corner of Poland and beyond. Because they are sited by the major arterial roads, they are easily accessible for international hauliers.

Regardless of whether it’s a case of dispatching a shipment from our warehouse or redirecting goods in the context of cross-docking, the distribution method is similar – we make use of our own vehicle fleet, or have help from the professional hauliers we collaborate with, which guarantees safe transportation and timely delivery of the goods.
